Queer Women of Color Media Arts Project-QWOCMAP respects your privacy. This policy explains what information we collect, how we use it, who we share it with, and what choices you have. We’ve written it in plain language because we believe transparency is a practice, not a formality.

What We Collect

Information you give us directly

When you donate, register for the film festival, sign up for our newsletter, submit a film, apply for a program, or contact us, you may share your name, email address, phone number, mailing address, and payment information. For program applications (Film & Freedom Academy, Critical Juncture), you may also share demographic information, artistic background, and accessibility needs.

Information collected through our platforms

Our website runs on WordPress. Donations and constituent management go through NeonCRM (where we have the highest security certificate). Film viewing and festival registration happen through Eventive. Film submissions come through FilmFreeway. Program participants may use Canvas LMS for coursework. Each of these platforms may collect usage data such as pages visited, time on site, device type, and IP address.

Cookies and similar technologies

Our website uses cookies. Some are essential (they keep the site working). Others help us understand how people use the site (analytics). Third-party tools embedded on our site — including Eventive film players, NeonCRM donation forms, and social media buttons — may set their own cookies. You can control cookies through your browser settings. Disabling cookies may affect some site functionality, like donation forms or film viewing.

How We Use Your Information

We use the information we collect to:

  • Process donations and send tax receipts.
  • Register you for festival screenings, programs, and events.
  • Send you newsletters, film announcements, and updates you’ve signed up for.
  • Manage program applications, enrollment, and participant communications.
  • Respond to your questions and feedback.
  • Improve our website, programs, and services.
  • Meet legal and reporting obligations, including funder requirements.

Who We Share Your Information With

QWOCMAP’s data safety policy means that we do not share your personal information. We never have and we never will.

We share information only with trusted service providers who help us operate. These include:

  • NeonCRM — donation processing, email communications, and constituent management.
  • Eventive — film festival registration, virtual screening access, and film catalog.
  • FilmFreeway — film submission management.
  • Canvas LMS — program coursework for Film & Freedom Academy participants.
  • Payment processors — secure processing of donations and transactions. We do not store credit card numbers on our servers

We work with these providers to ensure that we have the highest possible security so that your information remains secure.

If you submit a film through FilmFreeway, that platform has its own privacy policy governing your submission data. We encourage you to review it.

Email Communications

If you sign up for our newsletter, donate, or register for an event, we may send you email updates about QWOCMAP programs, films, and community news. We send emails through NeonCRM.

Every email we send includes an unsubscribe link. You can opt out at any time. If you unsubscribe from our newsletter, we’ll still send transactional emails related to your donations or event registrations.

How Long We Keep Your Data

We keep your information for as long as it’s needed for the purpose it was collected:

  • Donation records — kept for at least 7 years to meet tax and nonprofit reporting requirements.
  • Festival registration and event data — kept for up to 3 years for historical reporting and audience analysis.
  • Program application and participant data — kept for the duration of the program plus 3 years, unless you request deletion sooner.
  • Newsletter subscriber data — kept until you unsubscribe.
  • Website analytics data — kept in aggregate form and not tied to individual identities.

If you’d like us to delete your data sooner, contact us at info@qwocmap.org. Some records (like donation history) may need to be retained for legal or tax purposes even after a deletion request.

Your Rights

You have the right to:

  • Access — Ask us what personal information we have about you.
  • Correction — Ask us to fix inaccurate information.
  • Deletion — Ask us to delete your personal information, subject to legal retention requirements.
  • Opt out — Unsubscribe from email communications at any time.
  • Data portability — Request a copy of your data in a common format.

Additional Rights for California Residents

If you’re a California resident, the California Consumer Privacy Act (CCPA) and California Privacy Rights Act (CPRA) give you additional rights:

  • Right to know — You can request details about what personal information we’ve collected about you in the past 12 months, where we got it, why we have it, and who we’ve shared it with.
  • Right to delete — You can ask us to delete personal information we’ve collected, with some exceptions (like records we’re required to keep for tax reporting).
  • Right to opt out of sale — We do not sell personal information. Period.
  • Right to non-discrimination — We will never treat you differently for exercising your privacy rights.

To make a request under California law, email info@qwocmap.org with the subject line “California Privacy Request.” We’ll verify your identity and respond within 45 days.

Payments and Security

All donations and payments are processed securely through NeonCRM and its integrated payment processors. We do not store credit card numbers, bank account details, or other sensitive payment information on our servers.

We take reasonable steps to protect your personal information from unauthorized access, loss, or misuse. No system is perfectly secure, but we work to safeguard your data and respond promptly if a security issue arises.

Young People and Privacy

Some of our programs serve young adults ages 18–24 (including the Film & Freedom Academy Youth workshop).

If you believe we’ve collected information from a child under 13, please contact us at info@qwocmap.org and we’ll delete it promptly.
